What types of questions can you add to your meeting types and contact forms?

When you create a meeting type or a contact form you can set up all the details an add some extra questions to get more information from your leads and clients. Information from the questions can be sent to your CRM integration

Ask questions - general 

When setting up questions in your meeting type, you will have 3 basic questions that are required and you can add custom questions. These custom questions provide you more information on your client. 

 

 

You can ask for the company name, telephone number, a subject to discuss, … Change the type of question on the left side and check the preview on the right side. Optionally make them required below the question if you think it's useful! 

 

 

Save the question so it’s added to your meeting type. You can now also add a second custom question. 

 

 

Basic questions 

The basic questions are questions that are required and in which you can't change the type. You can edit the label however. The current labels are: 

  • First name 
  • Last name 
  • Email 

 

 

You can also change the order between the basic questions and with the other custom questions you might add.

 

This data can be used to collect information on your leads. The data will be added as the contact name and email address in all the CRM integrations. Read more about the integrations later in this help article.

 

Custom questions 

Next to the basic questions you can add custom questions with different types. To add a custom question, click on the button '+ Add question'.

 

Now you will be able to add a Question name, type, make it (non) required and save the question.

 

We've divided them in several categories to make it easy for you:

 

Plain text response

 

Short text (150 characters) 

Give clients the option to give a basic text answer up to 150 characters. 

 

Long text 

Give clients the option to give an answer consisting of more than 150 characters which can exceed the 1 line limit.

Choices 

 

Single selection

Ask a question in which the lead or client can select one option out of multiple options that you provide. You can add up to 20 options in one question. You can also add an 'Other' option so clients can fill in a non-provided answer.

 

Ask a question in which the lead or client can select an option from the dropdown that you provide. It's not possible to add an 'Other option'. Use the type 'Single selection' above if you want to do that.

 

 

Multiple selection

Ask a question in which the lead or client can select multiple options that you provide. You can also add an 'Other' option so clients can fill in a non-provided answer. Like in the single selection you can add up to 20 options.

 

 

Language

You can ask for the language of a client or lead and then they can select their language from a dropdown list. The language will be auto-selected based on the browser language, but can be changed by the end user.

 

Yes/No

Give clients the option to add a question in which your lead or client will choose Yes or No.

Checkbox

If you have a question where your respondents need to check or uncheck a box you can use 'Checkbox'. E.g. if they want to receive your newsletter or not.

 

 

Contact & company 

 

Email address 

You can ask for an extra email address next to the basic email address of the contact. This email address won’t be synced as the main contact email address in the CRM integrations. 

 

Company name 

Ask the lead for the name of his company. You can sync this with the CRM integrations to create a company linked to the contact. 

 

Phone number 

Ask the lead for his phone number. A phone number should be between 7 and 15 digits. This information will be linked to the CRM integrations. 

 

Website (URL) 

By asking for a website (URL) the lead will have to fill in a website which needs to be in URL format. We don’t check if the URL is an existing and valid URL, but it should have a URL format. 

 

Address

Add an address question to ask for the address of a contact, company or location. The address consists of a country, street, number, Zip code and city.

Upload files 

 

Allow your leads to send you files via an Upload file question. This can be any type of file with a limit of 5 MB per file. There's no limit to the amount of files a guest can upload.

Date, number & Money

 

Date 

You can ask the lead for a specific date in the past or in the future. The range of the answer should be between 01-01-1900 and 31-12-2099. 

 

 

Number 

Ask the lead for a specific number or amount. This can be a normal number, a negative number or a number with a comma.

Integer

Ask the lead for a specific number or amount. This can be a normal number or a negative number, but the answer can't be a number with a comma.

 

Money

 

The above examples could look like this on the booking page:

 

 

VAT Number 

Ask the lead for the VAT number of their company. This VAT number can consist only of numbers and letters, but not of spaces and special characters. The VAT number will be checked if it’s valid. 

 

KvK Number (Netherlands)

If your leads or clients are based in the Netherlands you can also ask for a KvK number. A KvK number should consist of 8 letters.

Send data to your CRM integration

In Vectera there are several options to send the data from booked appointments to your CRM platform. For most integrations we will create a contact with the first name, last name and email address and optionally you can create a company and/or deal and add the phone number as well.

Teamleader Focus integration

If you have integrated Vectera with your Teamleader Focus account, you will be able to link questions to a certain Teamleader Focus Contact/Company/Deal field.

 

You can activate the following fields to add default questions which are linked to a specific field in Teamleader Focus:

  • Create new contact ==> Questions: First name, Last name & Email
  • Create new company ==> Company name
  • Create new deal 

 

 

 

Add a new question and type the question. Now select the Field to which it should be linked in Teamleader Focus. E.g. I want to know the primary address of the company.

 

Which results in:

 

Note: If you want to link questions to a contact or company field in Teamleader Focus, you will need to activate the Create new contact or company checkbox.

 

When you uncheck the Create new contact or company checkbox, the linked questions will be removed.
